DATA PROTECTION RECRUITMENT POLICY

DATA CONTROLLER:

AED Vantage GmbH, domiciled in München (Germany), at Taunusstraße 51 (80807), registered at Amtsgerich München (Munich Local Court), with commercial register entry number HRB 162333 (“AED” or the “Company”) is the controller of the personal data that are processed electronically through e-mail or online form for executing the application process, managing CVs and preparing contracts for job candidates at AED and its group. This clause provides information on the use that the Company will make of your personal data and your rights under the General Data Protection Regulation (“GDPR”) and local applicable regulation. PURPOSES OF THE PROCESSING, LEGAL GROUNDS AND DATA DISCLOSURES:

Below you can consult the purposes of the processing of your data, the legal grounds that entitle the Company to process your data for the purposes indicated, categories of data collected as part of the application process, the possible disclosure of your data to third parties and the existence of potential international data transfers. You will receive information on the storage periods of your data on the Company’s systems, notwithstanding the obligations to block data set forth in applicable legislation. Management of the personnel job application and recruitment process.

Purpose of the processing: Management of the personnel application and selection process for AED of the relationship with you as job applicant. By submitting an application via our recruitment website or sending us an email, you express your interest in taking up work with us. In this context, you transmit personal data, which we will use and store exclusively for the purpose of your job search/application process.

Legal ground: Your data will be processed, on the basis of the Pre-contractual or contractual relationship, for the purposes of your job search, executing the application process, and completing the personnel selection process taking steps at the request to entering into a contract.

Data categories: Name and surname, email address, phone number, social media profiles (optional), date of birth, academic and pre-employment details. You have also the option of uploading meaningful documents such as a cover letter, your CV and reference letters, that could contain additional personal data.

Company’s Area responsible: Only authorized HR staff and/or staff involved in the application process have access to your data.

Recipients: Your data may be disclosed to companies withing AED (the “Group”), on the legal ground of legitimate interest of AED, since the recruitment website is used for personnel selection throughout the entire Group. 

The categories of service providers of AED that may have access to your data as data processors, given the services they provide to AED are:

Technology services and systems maintenance companies, such as: ATS Bizneo and Test Dome.

International transfers: Your data shall not be transferred to another third-party countries or international organizations. 

Storage period: Your data will be processed by the Company for a period of 24 months as from the date on which you provided your CV, reference letter or other job application information to AED.

During this period of time your data will be part of our applicant pool, in order to identify any other vacancies that may be of interest to you, after the application process has been concluded, unless you have accepted a job offer from us. After this period, the obligation to block and remove your data imposed by legislation may apply.

Necessary up-to-date information

In order to ensure that the information provided is constantly up to date and does not contain errors, you should inform AED as soon as possible of any amendments to or changes in your personal data. By clicking on the “Access” button (or similar) on such forms, the User states that the information and data provided are accurate and true.

DATA SUBJECTS’ RIGHTS:

You may exercise the following rights:

right of access to your personal data to know which data are being processed and the processing operations that are being performed with that data; 

right to rectification of any inaccurate data; 

right to erasure of the personal data, where possible; 

right to request the restriction of the processing of your personal data where the accuracy, legality, or need to process the data is doubtful and in the other cases envisaged in the GDPR;

right to object, at any time, on grounds relating to your particular situation. The Company shall stop processing your data unless it has a compelling legitimate interest or for the establishment, exercise or defense of legal claims.

In order to exercise these rights, you should send a written request via the Company’s email contact address for these purposes: info@aed-vantage.com. You must include your full name and address, and indicate which rights you wish to exercise.

You may also lodge a complaint with the Bavarian Data Protection Authority Data Protection Authority  ('BayLDA') if you consider that data protection legislation has been breached in the processing of your personal data.

CONFIDENTIALITY AND SECURITY

The Company shall make all reasonable efforts to maintain the confidentiality of the personal information in question through this Career site. AED has implemented and maintains strict levels of security to protect the personal data it processes from accidental loss and unauthorized access, processing or disclosure, having regard to the state of the art, the nature of the stored data and the risks to which they are exposed. Once your personal data has been received, the Company shall use rigorous security functions and procedures to prevent any unauthorized access.

UPDATE NOTICES

We reserve the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the application process or other processes. In this case, the new data privacy statement applies to any later visit of this recruitment website or any later job application.
